OPD Pilot is an AI-powered patient-flow automation system built and operated by Amvin Digital. Any reference to "we", "us", or "our" in this policy refers to Amvin Digital.
Our role, and your clinic's role
This distinction decides who controls your information.
For clinics and their patients. A clinic using OPD Pilot decides what information is collected about its patients and why. The clinic is the data controller. Amvin Digital acts as a data processor, handling that information strictly on the clinic's instructions and under our agreement with them. Patients should contact their clinic first about their records.
For this website. When you request a demo or contact us, Amvin Digital decides how that information is used, and this policy applies to us directly.
Information we collect
When you contact us
- Your name, clinic or hospital name, email address, and phone number, when you request a demo or send an enquiry.
When you visit this website
- Basic analytics about how visitors interact with the site, used to improve the product.
Patient information processed for clinics
When a clinic uses OPD Pilot, we process the following on the clinic's behalf:
- Patient name and mobile number
- Email address and postal address, where the clinic records them
- Appointment date, time, doctor, and status
- Card or registration number issued by the clinic
- Preferred language for messages
- Reason for visit, where the clinic records it
How we use information
- To respond to demo requests and enquiries
- To provide, maintain, and improve the OPD Pilot platform
- To book, change, and manage appointments on behalf of clinics
- To send appointment confirmations, reminders, and reschedule or cancellation notices to patients
- To display a clinic's daily queue and attendance board to its own staff
- To produce reports for a clinic's own management
- To keep the platform secure and to support our clinic customers
- To send relevant updates about the service to our business contacts (you can opt out at any time)
Amvin Digital does not sell your personal information to third parties. We do not use patient information for advertising, and we do not buy, rent, or import contact lists.
Messages we send to patients
If you book an appointment at a clinic that uses OPD Pilot, you may receive:
- An appointment confirmation
- An appointment reminder
- A reschedule or cancellation notice
These are sent by WhatsApp, and by email where the clinic has enabled it, using the number or address you gave the clinic.
These are service messages about your own appointment. They are never advertising.
How WhatsApp messages are delivered
We use the WhatsApp Business Platform, provided by WhatsApp LLC (a Meta company). Messages are sent using message templates approved by WhatsApp, and only to people who provided their mobile number to a clinic while booking an appointment.
To deliver a message, the recipient's mobile number and the message content are shared with WhatsApp, and are handled under WhatsApp's Privacy Policy.
How to stop receiving these messages
Ask the clinic to remove your number or turn off reminders for you, or block the sender in WhatsApp. Requests are honoured promptly, and passed on to the clinic where the request reaches us first.
Who we share information with
- The clinic that collected the information
- WhatsApp / Meta, only to deliver the appointment messages described above
- Hosting and infrastructure providers that operate our servers
- Authorities, where required by law
Clinics using OPD Pilot cannot see each other's patients. We do not share personal information for any other purpose.
How long we keep information
- Demo requests and enquiries: up to 24 months
- Website analytics: up to 12 months
- Patient and appointment data: for as long as the clinic requires, including any period set by medical record-keeping rules. The clinic decides retention. We delete or return the data when the clinic asks, or when our agreement with them ends.
Data security
Amvin Digital applies reasonable technical and organisational measures to protect information against unauthorised access, loss, or misuse. These include role-based access controls, encrypted connections (HTTPS), restricted administrative access, and logging of staff activity within the platform.
No system is perfectly secure, but we take these responsibilities seriously.
Your choices and rights
You may request access to, correction of, or deletion of the personal information Amvin Digital holds about you.
If you are a patient, contact the clinic where you booked. The clinic holds your record and decides. We act on the clinic's instruction. If you cannot reach them, email us and we will help.
If you contacted us through this website, email us directly using the address below.
Children
OPD Pilot is used by clinics that may treat children. Where that happens, the information is provided by a parent or guardian to the clinic, and is handled in the same way as any other patient record, on the clinic's instruction.
Complaints
If you have a complaint about how your information has been handled, email us at support@opdpilot.com. We acknowledge complaints within 24-48 hours and resolve them within the period required by law.
Changes to this policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top will change, and we will notify our clinic customers of any material change.
